the simplest & Best practice for setting up a service "zpps treatment" with a generic staff member that holds up to 16 people each hour, 7 days a week, 10 hours a day= like a yoga class that bills individually and tracks their package level - thanks

Hi there Dawn! Thanks for your post!

Here are the steps that I think are best to solve your need:

    1. For the disclaimer, add it as a document in Business Center. Then, navigate to the document and grab the public link, as it will be needed in the next step

    2.  Add a Group Event service for "zpps treatment" in Settings>My Services. Make sure the settings are as you specified, as mentioned above 1 hour long, 16 attendees, and the price is according to your setting. Pay special attention to whether this event is available to be booked online or whether the user will need to register people to it.

For the disclaimer document to go with the event, when editing your service, scroll down to Client notifications. Paste the link that we grabbed earlier in the Booking Auto-Reply, (and for good measure I would add it to the reminders as well).

    3. Create a new staff member in that isn't truly tied to an employee as you are saying. (Click Here for a guide for Command Center users, or Click Here for a guide for Classic Business Center users). I would recommend giving it a name after this service as that is all it will be used for so it is easy to find on your calendar

    4. Navigate to Settings>My Staff in Business Center, and edit this staff member. Under "Will provide the following services," make sure that only "zpps treatment" is available. In addition, make sure that "zpps treatment" is not appearing here under any other staff members.

    5. If there is a package available for this service as you mentioned, navigate to Settings>Packages and Coupons and add your package

    6. Now that you've added a staff to create a special calendar for it, added your service, and your package, you are ready to add occurrences of the event to your calendar. Based on the hours you described, you should add it to every hour block, and make each block recurring daily.  This will create one hour blocks with 16 people available each hour daily

You now have a dedicated calendar for one group event holding 16 attendees an hour, scheduled out in hour blocks repeating for the maximum of 70 days (you'll need to add the events again every 70 days), with automated reminders that send an important document automatically to the customer! Let us know if this works or if there are additional requirements to this, thank you!

Thank you for the fast detailed response, this is a great format!

@KennedySanchez, the CSM had some great feedback in bold, and we have additional questions

    • The client will still need to create at least 1 new staff member to assign to the service. This will need to be done first.
    • we can only do a max of 70 occurrences at a time; after the 70th occurrence, they need to add the group events on the calendar again.

Additional Follow-up Questions/ recommended best practices
    Q)    Are events limited to 70 occurrences or scheduled out in hour blocks repeating indefinitely?

    Q)  can thryv accommodate clients that will be wanting to schedule weeks, possibly even months out in the future?

    Q) can thryv accommodate  offering monthly unlimited package where people can do two treatments/day if they want.

    Q)   Does each Staff Member need a unique phone number, as well as a unique email address?

Hey there Dawn! Thanks for your follow-up! Your answers, in order

    1. Yes and great catch Kennedy! There is a maximum of 70 occurrences. The business owner would have to repeat the process every 70 days on the calendar. We have updated the response above to reflect this

    2. As long as the occurrences are on the calendar, they could sign up for them. Remember, the 70 day limit only applies to the duplication of one occurrence at a time. So if the business owner wanted to, they could set up their first block of 70 days, then scroll in their calendar 70 days in the future and do it again and repeat as far in the future as they'd like. This actually would give the business owner control over how far in the future they want people to be able to book.

    3. If I'm understanding this right, you're wanting to create a package with two occurrences of the event included, and the client could do them both on the same day or separate days. In this case the answer is yes, adding 2 credits to the package wouldn't stop them booking it on the same day. Now for the part about it being monthly, there isn't a way to automate that, it would need to be added to the client's account manually (or they could purchase it through the client portal) every month

    4. Great question! The answer to this one is no, just a different email address

Thanks again and let me know if you have any further questions!
