What the Appointments Report Tracks
The Appointments Report is a pre-built report available in Thryv Reporting Center that consolidates appointment data from your Thryv Business Center calendar into a single view. The Appointments Report displays appointment statuses, a breakdown of appointments by staff member, cancellation and reschedule activity and revenue data for appointments with fees attached. The report shows booking trends over time so you can identify which services are in highest demand and which time slots fill fastest, giving you the information you need to adjust your availability and staffing before gaps appear in your calendar.
How to Make Sure the Appointments Report Shows Accurate Data
The Appointments Report is most effective when your appointment data in Thryv Business Center is complete and consistently maintained. To get the most accurate data from the report, track all of your appointments in Thryv Business Center rather than in an external calendar or system, appointments not recorded in Thryv Business Center will not appear in the Appointments Report. Attach a fee to each service when you create or edit the service in your Services settings so that the Appointments Report can calculate revenue associated with completed appointments. Appointments without attached fees will appear in the report but will not contribute to revenue metrics.
Mark no-show appointments as no-shows in Thryv Business Center as they occur. No-shows that are not marked will not appear correctly in the Appointments Report and will instead be counted as completed appointments, which skews your completion rate and no-show data. What Insights the Appointments Report Provides
The Appointments Report provides three categories of insight that help you understand how your calendar is performing and where your business can improve. The staff breakdown section shows which staff members are completing the most appointments, making it easier to identify your highest-performing team members and spot any imbalances in workload distribution. The client type breakdown segments appointments by client status (such as new, active or lapsed clients) so you can see whether your calendar is growing with new clients or retaining existing ones. The cancellation and reschedule section shows how many appointments have been cancelled or rescheduled within the selected date range and calculates the revenue impact of those cancellations based on the fees attached to each appointment. Use the cancellation data to identify patterns, for example, whether cancellations spike on certain days or for certain services, and to quantify the financial cost of booking gaps so you can make a business case for improvements such as deposit requirements or stronger reminder workflows.
Actions You Can Take from the Appointments Report
The Appointments Report is designed to connect data directly to action. Three specific actions are available based on what the report reveals about your booking performance. If the staff breakdown shows that appointment volume is unevenly distributed across your team, use the reassignment workflow to rebalance workloads. Frequently Asked Questions
Why do my no-show appointments not appear correctly in the Appointments Report?
No-show appointments only appear as no-shows in the Appointments Report if they have been manually marked as no-shows in Thryv Business Center. If a no-show appointment is not marked, Thryv Business Center counts the appointment as completed, which means it will not appear in the no-show data in the Appointments Report. Why does the Appointments Report show no revenue data for some appointments?
The Appointments Report calculates revenue only for appointments that have a fee attached to the associated service in your Services settings. Appointments booked for services without a fee will appear in the Appointments Report but will not contribute to revenue metrics. To add a fee to a service, navigate to Settings in the left-hand navigation, open the My Services section and edit the service to add a price.
Can I filter the Appointments Report by a specific staff member or service type?
Yes. The Appointments Report in Thryv Reporting Center includes a breakdown by staff, so you can see which staff are completing the most appointments. For filtering by a specific staff member, the closest option is the Appointment List in Thryv Business Center, where you can filter by staff members (it includes anyone assigned, primary or secondary). For filtering by service type, the Appointments Report itself doesn’t list service-type filtering, but you can export your booking calendar filtered by staff member or service into a file.
