A no-show appointment is a missed opportunity, but how you handle it can make the difference between losing a client and winning them back. Thryv Business Center gives you tools to mark no-show appointments accurately, trigger an automated follow-up message, and set up a re-engagement campaign to bring clients back. This article covers how to mark an appointment as a no-show, how to set up an automated no-show follow-up email, and how to use tags to send a rescheduling campaign to no-show clients.
How to Mark an Appointment as a No-Show
To mark an appointment as a no-show, open the Calendar in the left-hand navigation and locate the appointment for the client who did not appear. Click the appointment to open the appointment details.
Inside the appointment, click the three-dot menu icon in the top row of the appointment details. In the dropdown that appears, click Mark As No-Show.
Once marked, the appointment will appear with the text crossed out on the Calendar view, indicating the appointment was a no-show.
Note: You must mark the appointment as a no-show before the scheduled end time of the appointment. If the appointment end time passes without being marked as a no-show, Thryv Business Center will treat the appointment as completed and trigger your standard post-appointment follow-up process instead.
How to Set Up an Automated Follow-Up Email for No-Show Appointments
Thryv Business Center can automatically send a follow-up email to clients who miss their appointment. To set up the no-show follow-up email, click Settings in the left-hand navigation, then click Email Templates.
In the Email Templates section, click Missed Note to open the missed appointment email template. The template uses HTML code. If you are not familiar with HTML, the simplest way to edit the message is to highlight the placeholder text labeled Message Text in the template body and replace it with the message you want to send to no-show clients.
How to Use Tags to Send a Rescheduling Campaign to No-Show Clients
Tags give you a way to group no-show clients and send them a targeted campaign with a link to reschedule their missed appointment. To set this up, create a tag for clients who missed their appointment, such as "no-show," and apply the tag to each client who did not appear. Then set up an automated campaign targeting clients with the no-show tag and include a link to your online scheduler in the campaign message. For a full guide to using tags for marketing campaigns, see How to Use Tags for Marketing Campaigns in Thryv Business Center.
Frequently Asked Questions
What happens if I forget to mark a no-show before the appointment ends?
If the appointment end time passes without being marked as a no-show, Thryv Business Center will treat the appointment as completed and trigger your standard post-appointment follow-up process. The appointment cannot be changed to a no-show after the scheduled end time has passed.
Will the no-show email send automatically or do I need to trigger it manually?
The Missed Note email sends automatically when you mark an appointment as a no-show. Make sure your Missed Note template is set up in Email Templates before marking any appointments as no-shows so the correct message goes out to your clients.
Does this article cover how to reschedule a no-show appointment directly?
