Why Custom Contact Layouts Help Your Team Work Better
When your whole team works from the same contact record view, the wrong fields create noise and missing fields create mistakes. Custom Layouts let Admins control exactly which contact fields each role sees, and in what order, so your sales team, support staff, and any other role works from a view built for their job. Inline Editing lets any user with edit permissions update a contact field on the spot, without opening a separate screen.
This article covers how to create, edit, duplicate, and assign custom layouts by role, and how to edit contact fields directly from a contact record. This article does not cover how to create or manage custom contact fields. To learn how to add custom fields to your CRM, see Create and Manage Custom Contact Fields in Keap.
How to Create and Manage Custom Layouts
This feature is available to Admins only.
To create a custom layout, click Settings in the left-hand navigation, then click Contact Record Layouts. Click Create Layout to build a new layout, click Edit on an existing layout to modify it, or click Duplicate on an existing layout to copy it as a starting point for a new one.
Give your layout a name that reflects the role it is built for, such as "Sales Team View" or "Support View." Under Assign Roles, select which user roles should see this layout. All users see the Default View unless an Admin has assigned a custom layout to their role. If a user has been assigned a custom layout, that layout overrides the Default View. Each user's layout preference is saved individually per user.
Organize Fields in a Custom Layout
Once your roles are assigned, organize the fields your team will see. Click and drag the handle next to any field to reorder it. Click the Eye Icon next to a field to hide it from this layout without deleting the field from your CRM entirely. To group related fields together, drag them into a logical section such as "Address Information."
Click Save Layout when finished. Users assigned to this layout will see the updated field order and visibility the next time they open a contact record.
How to Edit Contact Fields Without Leaving the Record
This feature is available to all users with permission to edit contacts.
Open the contact record you want to update. Any field that supports inline editing will display a Pencil Icon when you hover over it. Click the field directly or click the Pencil Icon to make the field editable. Type the updated information into the field. Click the Checkmark to save the change, or click the X to cancel and revert to the previous value.
Inline editing is also available when you open a contact record from within a Pipeline deal modal. Click any editable field to update it without leaving the deal modal.
Frequently Asked Questions
Why can't I see a specific custom field on a contact?
If a field is missing from your contact record, an Admin may have hidden it in the Custom Layout assigned to your role. Contact your Admin to update the layout and make the field visible.
Can I revert to the default layout?
Yes. Admins can reassign users to the Default View, which is available to all users regardless of role. No additional setup is required to access the Default View.
Does inline editing work on mobile?
Inline editing is currently optimized for the desktop experience. For updates on mobile, use the standard edit functionality on the contact record.
Does inline editing work from within a Pipeline deal?
Yes. When you open a contact record from within a Pipeline deal modal, inline editing is available. Click any editable field to update it without leaving the deal modal.
Can I create different layouts for different teams?
Yes. Admins can create as many layouts as needed and assign each one to a specific role. Your sales team, support staff, and any other role can each work from a view built for their needs.
