Keep your business calls separate from your personal phone. Keap Business Line includes a dedicated voicemail inbox that is completely separate from your device's personal voicemail. Contacts who call your Keap Business Line number will reach your Keap Business Line voicemail — not your personal voicemail — and you can set a custom professional greeting to make the right first impression.
This article covers how to create and manage voicemail greetings, how to listen to voicemail messages, and how to troubleshoot common voicemail issues. Keap Business Line voicemail is available in the United States and Canada only and requires the Keap mobile app to be installed on your device. For instructions on setting up your Keap Business Line phone number, see how to set up your Keap Business Line phone number.
How to Create and Change Your Voicemail Greeting
Your Keap Business Line is set up with a default voicemail greeting that activates as soon as your business phone number is configured. The default greeting says: "Please leave your message for [your business line number] after the beep." Creating a custom greeting with your name and business name makes a more professional impression on callers and helps them confirm they have reached the right number.
To create a custom voicemail greeting:
- Tap Settings in the navigation bar at the bottom of the Keap mobile app.
- Tap My business line.
- Tap Voicemail greetings.
- Tap + Add a custom voicemail greeting.
- Enter a name for your greeting. The greeting name is for your reference only and is not heard by callers.
- Tap the microphone icon to begin recording. If prompted, allow microphone access — this permission is only used to record your voicemail greeting.
- Record your greeting, then tap the Stop icon when you are finished. Tap the Play icon to listen to the recording before saving.
- Tap Save if you are satisfied with the recording. To re-record, tap the microphone icon again and repeat the previous step.
Your new greeting will be saved and set as the active voicemail greeting automatically. You can create as many custom greetings as you need. To switch between greetings, tap the checkbox next to the greeting name in the Voicemail greetings list — the greeting with a checked checkbox is the active greeting that callers will hear.
How to Listen to Voicemail Messages
When a contact leaves a voicemail on your Keap Business Line, the Keap mobile app will notify you of the missed call and the new voicemail — provided notifications are enabled for the app. The Keap app icon on your device's home screen will also display a red dot indicating unread activity.
To access a new voicemail message, use either of the following methods:
- Tap the notification when it appears on your device. Tapping the notification opens the voicemail directly in the app.
- Open the Keap app, tap the Communications tab, and find the conversation thread from the caller. Unread messages appear in bold with a red number indicating the count of unread messages.
Inside the voicemail message, you can listen to the audio recording and read a text transcription of the voicemail. The following controls are available:
- Tap the Play icon to listen to the voicemail recording through your device's earpiece.
- Tap the Speaker icon to switch to speakerphone playback.
- Tap the message text to expand and read the full voicemail transcription.
Troubleshooting Keap Business Line Voicemail
When troubleshooting a voicemail issue, the first step is to identify which voicemail inbox the call is reaching — your Keap Business Line voicemail or your device's personal voicemail. If you are not sure which voicemail the call is going to, set a custom Keap Business Line greeting in the Keap app under Settings, then My business line, then Voicemail greetings. Call your Keap Business Line number and listen to which greeting plays — if your custom greeting plays, calls are reaching your Keap Business Line voicemail. If your device's standard voicemail greeting plays, calls are being routed to your personal voicemail. Once you have identified which voicemail the call is reaching, follow the correct troubleshooting steps below.
Calls Are Going to My Device's Personal Voicemail Instead of Keap Business Line Voicemail
If incoming calls to your Keap Business Line are reaching your device's personal voicemail, playing a busy signal, or indicating the number is disconnected, work through the following checks in order:
- Verify your call routing settings. In the Keap app, tap Settings, then tap My business line, then tap Call routing. Confirm that the number listed under Make outbound Keap calls and the number listed under Receive inbound Keap calls are both correct.
- Do not call your Keap Business Line from the same device it is installed on. Calling your own Keap Business Line number from the device that has the Keap Business Line installed will send the call directly to your device's voicemail because the phone registers as busy. Use a different phone to test incoming calls to your Keap Business Line number.
- Turn off Do Not Disturb on your device. If the device receiving Keap Business Line calls has Do Not Disturb enabled, incoming calls will be routed to your device's personal voicemail rather than your Keap Business Line voicemail. Check and disable Do Not Disturb using the instructions for your device:
- Do not decline or reject incoming calls. If you tap the decline or reject button when a Keap Business Line call comes in, the call is immediately routed to your device's personal voicemail. To allow the call to reach your Keap Business Line voicemail, let the call ring until it stops naturally without tapping decline.
-
Disable spam call filtering on your carrier account. Many carriers include spam call filtering by default. In rare cases, the Keap Business Line routing number may be flagged as spam by your carrier's filtering service, which causes calls to be sent to voicemail before reaching your device. Contact your carrier to disable spam call filtering or add the Keap Business Line routing number (947-222-5327) to your allowlist. Carrier-specific instructions:
- T-Mobile: Scam ID and Scam Block settings
- Verizon: Call Filter settings
- AT&T: Spam filtering settings (contact AT&T directly to disable)
- Check that the Keap Business Line routing number is not blocked on your device. The Keap Business Line routing number is 947-222-5327. If this number is in your device's block list, all incoming Keap Business Line calls will be silenced and sent to voicemail. Check and unblock the routing number using the instructions for your device:
Calls Are Going Straight to My Keap Business Line Voicemail
If incoming calls are going directly to your Keap Business Line voicemail without ringing your device, the Keap Business Line Do Not Disturb feature may be enabled. When Do Not Disturb is active in the Keap app, all calls and texts to your business phone number are snoozed and callers are sent directly to voicemail. To check and disable Do Not Disturb in the Keap app:
- Open the Keap app and tap the Settings tab.
- Tap Do not disturb.
- Tap Resume notifications now to turn off Do Not Disturb and allow calls to ring your device again.
Note for Android users: If you enable Do Not Disturb on your Android device — separate from the Keap app's Do Not Disturb setting — or if you decline an incoming call, the call will be routed to your personal device voicemail and will not be logged in your Keap Business Line call activity.
