Why Use Appointments in Thryv?
Chasing down clients to schedule appointments, sending manual reminders, and watching no-shows eat into your day are problems your booking page solves automatically. With your appointments feature, you can share your booking link so clients schedule themselves, send email and text reminders that go out without any extra effort, and trigger automated follow-up the moment an appointment is completed or canceled. Your calendar stays organized in one place. Appointments you book manually, ones clients book themselves, and events from your connected Google or Outlook calendar all appear together on your appointments page. This article covers how to set up your appointment types, manage and filter your calendar, send booking links to contacts, book appointments manually, and customize your appointment reminders and automations.

How to Set Up Your Appointment Types
Default appointment types
After connecting your calendar, Keap will automatically create two appointment types for you: a 15 minute "Initial Consultation" and 60 minute "Coaching Call". You can use, edit, or delete these appointment types as desired.
Add an appointment type
- Click the "+" button

Edit appointment types
- Navigate to the Appointments page
- Open the more options menu for the appointment type you want edit
- Click Edit
How to Manage Your Appointments Calendar
Appointments overview
On the right side of the Appointments page is your daily schedule
Click the date above your daily schedule to select and view another date. Today's date is circled, the date you are viewing is a solid circle, and days with calendar events have a dot beneath them.
Appointment details
Click an appointment to view details of the appointment. There are options to Reschedule or Cancel the appointment. For more information regarding rescheduling and/or canceling an appointment, click here.
Events created on your Google or Microsoft calendar will be displayed on your Keap calendar, but cannot be edited in Keap. These events can be edited from your external calendar account.
Appointment filtering
Click on Filter
Select the calendars you want to display events from
- Or select if your calendar should Show all events, including ones not made by Keap, or Show appointments only, to only see Keap events
How to Send Your Booking Link to Clients
You can send an email or SMS message (Keap Business Line required) with your booking link from the Appointments page.
- Click the Send invite button
- Select which appointment link to send
- Select Email or Text
Note: Sending a link via text requires Keap Business Line - Enter the name of an existing contact or add a new one
- Edit message as needed
- Click Send
How to Book an Appointment Manually
- Click the Book now button above your daily schedule or by on appointment type
- Search for or add a new contact
- Select the appointment type
- Click Continue and select time
- Select a date and time to book
- Click Confirm
- Choose to view your appointments, view the contact you just booked, or close the success window
How to Automate Appointment Reminders and Follow-Up
When a client books an appointment, your booking page automatically sends reminder emails 24 hours and 1 hour before the appointment is scheduled to begin. These reminders stop automatically if the appointment is canceled. You can customize the timing, content, and delivery method of these reminders using Easy Automations, and you can add additional follow-up steps like a thank-you message or a review request to run after the appointment is completed.
Default Reminder Automation
Your appointments page includes a built-in Easy Automation called "Appointment reminders." This default automation triggers when an appointment is scheduled, sends a reminder email 24 hours before the appointment and again 1 hour before, and stops if the appointment is canceled. The default automation is labeled Keap default in Easy Automations. You can edit the default automation to change the reminder timing or message content, but you cannot delete it. Identify Which Appointment Types Have Active Automations
On the Appointments page, each appointment type displays a lightning bolt icon if it is connected to an Easy Automation. A lightning bolt icon with a slash through it means the automation connected to that appointment type is currently inactive. An appointment type with no lightning bolt icon is not connected to any Easy Automation. Use these indicators to quickly confirm which appointment types are triggering automated reminders and follow-up, and which are not.
Create or Edit an Appointment Automation
You can access Easy Automations directly from the Appointments page without navigating away from your calendar. Click the lightning bolt icon next to any appointment type to view the Easy Automations connected to that appointment type. From this view, you can edit an existing automation or create a new one. To build a new automation from scratch. For example, to send a follow-up text after an appointment is completed or add a tag when an appointment is canceled.
