This article covers how to add an internal note to an appointment in Thryv Business Center™, including where the note appears, who can see it, and how it is displayed on the client card. Why adding notes to appointments keeps your team informed
Appointment notes in Thryv Business Center give you a built-in way to pass critical job information to the staff member handling the appointment, or to leave a reminder for yourself to reference later. Instead of relying on a separate message or a verbal handoff, the note travels with the appointment and is visible to every staff member who has access to it. This reduces miscommunication on the job and keeps your team aligned without any extra steps.
How to add a note to an appointment
Step 1: Open the appointment
Navigate to your booking calendar in Thryv Business Center and click on the appointment you want to add a note to. The appointment detail screen will open, displaying the appointment date, time, service, client name, assigned staff member, and payment status.
Step 2: Add your note
In the appointment detail screen, locate the Internal Note section. Click Add Note to open the note field. Type the note you want to leave for your team or for yourself, then save the note. The note will immediately become visible to any staff member who has access to that appointment.
Who can see an appointment note
Once an internal note is saved on an appointment, the note is visible to any staff member who has access to that appointment in Thryv Business Center. If the appointment is assigned to a specific staff member, that staff member will also see the note when they open the appointment. The note displays the timestamp of when it was created and the name of the staff member who wrote it, so your team always knows who left the note and when.
How an appointment note appears on the client card
After saving a note on an appointment, the note also appears in the Notes section of the client's client card. Inside the client card, the note displays a Related To field that shows the name of the appointment the note was created on. Clicking the appointment name in the Related To field takes you directly back to that appointment.
If multiple staff members have left notes on the client card, all notes appear in the Notes section in chronological order, each displaying the timestamp and the name of the staff member who left the note.
Appointment note limitations
Only one internal note can be saved per appointment
Each appointment in Thryv Business Center supports only one internal note. If you need to leave additional notes related to a client, those can be added directly on the client card in the Notes section. Notes added to the client card are not linked to a specific appointment and will not appear inside the appointment detail screen.
Notes created on the client card do not appear inside the appointment
Notes added directly to the client card are separate from appointment notes. A note created on the client card will not appear in the Internal Note section of any appointment, even if the note is related to that appointment. Client card notes can be viewed in the Notes section of the full client card and in the condensed client card panel on the right-hand side of the appointment screen, but they are not linked to the appointment in the same way an appointment note is.
