Why Automate Deal Creation in Your Pipeline
Every time a lead takes a meaningful action — submitting a web form, completing an intake process, or reaching a specific goal in your automation — that contact should become a tracked deal in your sales pipeline. The Create a Deal process in the advanced automation builder lets you add a deal card to your pipeline automatically the moment a goal is achieved, without requiring a team member to manually create the deal. This ensures no qualified lead slips through without a deal in your pipeline to track them.
A common setup for this process is a web form or internal form goal connected to a sequence that includes the Create a Deal step. When a contact submits the form and the goal is triggered, a deal card is created in the selected pipeline stage automatically.
How to Configure the Create a Deal Process in an Automation Sequence
In the advanced automation sequence editor, locate the position in the sequence where you want the deal to be created. Add a Create a deal item to the sequence at that position.
The sequence editor displays the Create a deal item placed in the sequence timeline. Click the Create a deal item to open its configuration panel.
In the Create a deal configuration panel, enter a name in the Deal name field. The deal name is the label that will appear on the deal card in your pipeline. You can include merge fields from the contact record in the deal name — for example, including the contact's first name or company name to make each deal card identifiable at a glance.
The Create a deal configuration panel displays the Deal name field at the top. The merge field picker next to the Deal name field opens a list of available contact record merge fields that can be inserted into the deal name.
- In the Amount field, enter the estimated value of the deal if it is won. This value will appear on the deal card in your pipeline and is used in pipeline revenue reporting.
- In the Starting stage selector, select the pipeline stage where new deals created by this automation should be placed. The deal card will appear in this stage when the automation creates the deal.
In the Assigned user selector, select the user who should be assigned to deals created by this automation. The assigned user will appear on the deal card and will receive any notifications associated with the deal.
The configuration panel displays the Starting stage drop-down, the Assigned user drop-down, and the optional Only create if this contact doesn't already have a deal in this stage checkbox below the Assigned user field.
Optional: Check the Only create if this contact doesn't already have a deal in this stage checkbox to prevent the automation from creating a duplicate deal card if the contact already has an open deal in the selected pipeline stage. Enabling this option reduces the risk of creating multiple deal cards for the same contact when an automation triggers more than once.
Review all configured fields — deal name, amount, starting stage, assigned user, and the optional duplicate prevention setting. When all fields are complete, click Save to save the Create a Deal step configuration.
The Save button is located at the bottom of the Create a deal configuration panel. Clicking Save saves the configuration and returns to the sequence editor.
After saving the Create a Deal step, return to the automation canvas and click Publish to activate the automation. Once published, a new deal card will be added to the selected pipeline stage every time a contact reaches the Create a Deal step in the sequence.
The Publish button is located in the upper right corner of the automation builder canvas. Clicking Publish activates the automation. After publishing, the Create a Deal step will fire automatically for every contact who reaches that step in the sequence.
