The note object in your automation builder automatically adds a date-stamped note to a contact's history when the contact reaches that point in a sequence. Note objects are commonly used to mark relationship milestones — for example, recording when a contact requested a consultation, completed onboarding, or made their first purchase. Because notes are applied automatically, every contact who reaches that step in the sequence receives the same note without any manual entry required.
Limitations of Note Objects in Your Automation Builder
Before setting up a note object, review the following limitations. Each note object must be configured individually and cannot be reused in multiple sequences or placed at more than one point in the same sequence. Note objects are not archived. If you delete a note object from a sequence, the note object can only be restored by restoring a previous version of the entire automation. Restoring a previous version of the automation will undo all other changes made to the automation since that version was saved.
How to Add a Note Object to a Sequence in Your Automation Builder
- Open the sequence you want to edit by clicking on the sequence on the automation canvas, or double-clicking the sequence to open it.
- Add an Apply a note step to the sequence by selecting Apply a note from the "Then" step options on the canvas.
- Select an Action Type from the Action Type dropdown menu. The Action Type categorizes the note in the contact's history — for example, Call, Email, Appointment, or Other.
- Enter a title for the note in the Title field. The title appears as the name of the note in the contact's history.
- Enter a description in the Description field. The description should be written in general terms because the same note will be applied automatically to every contact who reaches this step in the sequence. To expand the Description field, drag the bottom right corner of the field to give yourself more room to write.
- Select a user to attribute the note to from the user selection field. The selected user's name will appear alongside the note in each contact's history, identifying who the note is attributed to.
- Click Save and then click Done to finish configuring the note object and return to the automation canvas.
Frequently Asked Questions About Note Objects
Can I use the same note object in more than one sequence?
No. Each note object must be configured individually. A note object cannot be copied and reused in a different sequence or placed at more than one point in the same sequence. If you need the same note applied at multiple points in your automation, you must create a separate note object for each instance.
What happens if I delete a note object from a sequence?
Note objects are not archived after deletion. If you delete a note object from a sequence, the only way to restore it is to restore a previous version of the entire automation. This will undo all other changes made to the automation since that version was saved, so use caution when deleting note objects from active automations.
Will the note object apply to contacts who have already passed that step in the sequence?
No. The note object will only be applied to contacts who reach that step in the sequence after the automation is published. Contacts who have already passed that point in the sequence will not have the note added to their contact history retroactively.
