This article covers how to use the Appointments goal in the Keap™ Advanced Automation Builder, including how to add the goal to an automation, configure the trigger condition and appointment type, and connect follow-up sequences. The Appointments goal triggers or ends an automation when an appointment is booked, canceled, or rescheduled. This article does not cover how to create appointment types. For help with appointment types, see how to create and manage appointment types in Keap.
Why the Appointments Goal Makes Appointment Follow-Up Automatic
Following up manually after appointments — sending reminders, re-engagement messages after cancellations, or confirmations after rescheduling — takes time and is easy to miss. The Appointments goal in the Keap Advanced Automation Builder connects appointment activity directly to automation sequences, so the right message goes to the right contact at the right moment without manual effort. Common uses include sending automated reminders before appointments, stopping nurture sequences when a contact books, and sending specific follow-up messages to contacts who cancel or reschedule.
How to Use the Appointments Goal in an Advanced Automation
-
Select Automations in the left-hand navigation.
-
Open an existing Advanced Automation to edit it, or create a new Advanced Automation.
Drag an Appointments goal block onto the automation canvas.
-
Configure the goal by selecting when the goal is achieved — appointment booked, canceled, or rescheduled — and selecting the appointment type to apply the goal to. Select Save.
The screenshot above shows the Keap Appointments goal configuration panel. Select the condition that achieves the goal and the appointment type the goal applies to. The goal settings are saved each time Save is selected — the goal does not need to be marked as Ready like other automation nodes.
-
Connect additional goals or sequences to the Appointments goal on the canvas to build the automation flow.
The screenshot above shows the Keap Advanced Automation canvas with the Appointments goal connected to follow-up sequences. Draw connection lines from the Appointments goal to any sequences or goals that should run when the appointment trigger condition is met.
Select Publish to make the automation active.
Frequently Asked Questions
What does this article cover?
This article covers how to use the Appointments goal in the Keap Advanced Automation Builder to trigger or end automations based on appointment activity. For help with appointment types, see how to create and manage appointment types in Keap.
Can appointment details be merged into follow-up emails?
Merging appointment details such as date, time, or location into follow-up emails using the Appointments goal is not currently supported in Keap.
Can the Appointments goal be used to stop an automation as well as start one?
Yes. The Appointments goal can be used as an end goal to stop an automation when an appointment condition is met. A common use case is stopping a nurture sequence when a contact books an appointment — for example, ending an email series designed to drive bookings once the contact has booked.
Can the Appointments goal send appointment reminders before an appointment?
Triggering automation before an appointment occurs is not currently supported using the Appointments goal. The goal triggers based on booking, cancellation, or rescheduling events — not on a scheduled time before the appointment.
Can I create automation for appointment types belonging to other users?
The Appointments goal currently supports automation only for appointment types on the connected calendar of the user creating the automation. Appointment types belonging to other users in the account are not available when configuring the goal.
Does the Appointments goal need to be marked as Ready like other automation nodes?
No. The Appointments goal does not require a Ready status. The goal configuration is saved each time the Save button is selected in the goal settings panel.
