Set Up Your Profiles
Before you start managing leads and clients, set up your business and user profiles so your information is accurate across your CRM. Complete both profiles to ensure your communications and invoices reflect the right business details.
Add Your Leads and Clients to Your CRM
Once your profiles are set up, add your leads and clients to your CRM. On the iOS mobile app, you can add contacts manually, import from your phone's Contacts List, or scan a business card. On the web application, you can import contacts in bulk or add them individually.
After adding contacts, sort them into one of four status categories: Leads, Clients, Invoiced, or Paid. Sorting contacts by status helps you take the right next action with each person:
For Leads, your next actions can include sending an intro email, booking an initial consultation, or sending a quote.
For Clients, your next actions can include sending a follow-up email, booking a follow-up meeting, or sending an invoice.

Send and Receive Messages Using the Keap Web Application
If you prefer to manage your messages from a desktop browser, the Keap web application includes a full messaging experience. Use the web messaging tool to send and receive messages with your leads and clients without switching to your phone.
Sync Your Calendar and Book Appointments with Leads and Clients
Connect your Google Calendar to your CRM so your availability stays accurate and appointments sync automatically. Once your calendar is connected, you can invite leads and clients to book time with you using your appointment booking page.
Send Email Broadcasts to Stay in Touch with Your Contact List
An Email Broadcast is an email sent to a list of recipients at a scheduled time. Broadcasts are the best option when you need to send the same message to everyone at the same time — for example, a monthly newsletter or a promotional announcement. Use the Simple Broadcast Tool for quick sends, or use the Advanced Email Broadcast Tool for more control over design and targeting.
Send Quotes to Qualify Leads Faster
Sending a quote early in the sales process helps you qualify leads quickly and move serious prospects toward becoming paying clients. You can send a quote directly from a contact record without leaving your CRM.
Send Invoices and Get Paid
Once you are ready to collect payment, set up WePay as your payment processor and start sending invoices directly from your CRM. After sending an invoice, you can track who owes money, send payment reminders, record payments, and keep track of clients who have paid in full.
