Note — KYC and KYB requirements: When applying for Keap Pay, some information is required for legally-mandated Know Your Customer (KYC) and Know Your Business (KYB) processes. These processes are used to identify and verify the identity of customers in order to prevent financial crimes such as money laundering and terrorism financing. Each step of the application is explained in detail below.
Prerequisites Before Applying for Keap Pay
The following must be in place before beginning a Keap Pay application:
Active business filing with the required federal and state agencies
Valid and active EIN — not required for sole proprietors
Personal identifiable information for every beneficial owner
Active bank account owned by the business or one of the beneficial owners

To begin the application, navigate to payment processing settings in Keap and select Set up Keap Pay. Direct links to the payment processing settings page are available here:
Note: Users in the Keap Max Classic interface must toggle to Keap Ultimate before beginning the application.

Step 1 — Representative Information and Organization Type
The first step of the application asks for basic contact information for the primary representative of the Keap Pay account. The contact information entered here will be used as the main point of contact for any outreach from the Payments team after the account is approved.
The organization type field is a dropdown asking how the business is legally filed — such as LLC, Corporation, or Sole Proprietorship. Select the option that matches the legal filing of the business.

Step 2 — Legal Business Details and Payment Volumes
Step 2 asks for the legal business details and payment volume estimates. Enter all legal information exactly as it appears on official business documents. The required business details are:
Business Legal Name
Business DBA Name
Tax ID / EIN — not applicable for sole proprietors
Merchant Category Code (MCC)
Payment volume information is used to monitor transactions processed through Keap Pay in compliance with Anti-Money Laundering (AML) and Counter-Terrorism Financing (CTF) laws. The three payment volume fields are:
Payment Volume Fields
Average Payment Amount — The average amount charged per transaction, typically the cost of the most commonly purchased product or service.
Maximum Payment Amount — The highest amount charged in a single transaction, typically the cost of the most expensive product or service offered.
Total Monthly Payments Amount — The total amount expected to be transacted through Keap Pay per month.

Step 3 — Business Address Information
Step 3 asks for the legal address of the business. The address must be a physical address — P.O. box addresses are not accepted.

Step 4 — Beneficial Owner Details
Financial institutions and their partners are required by law to identify and verify the identity of their customers to prevent financial crimes such as money laundering and terrorism financing. The personal identity of every beneficial owner of the business must be verified as part of the Keap Pay application.
The U.S. government defines a beneficial owner as any individual who directly or indirectly owns or controls 25% or more of the company, or who directly or indirectly exercises substantial control over the business.

Step 5 — Bank Account Connection
Step 5 requires connecting the bank account where Keap Pay deposits will be sent. Two connection methods are available:
Connect with bank login — connects through Plaid using online banking credentials
Add bank manually — enter bank account details directly

Connecting a Bank Account With Plaid

Select Connect with bank login, then sign in with the phone number registered with Plaid or select Continue as guest.

Search for the bank that holds the account to be connected.

Select Continue to login, then sign in using the online banking username and password for that institution. For example, to connect a Chase account, search for Chase, select the result, and sign in using Chase online banking credentials.

Connecting a Bank Account Manually
To add a bank account manually, select Add bank manually, enter the bank account details in the fields provided, then select Add Bank Account.

Step 6 — Application Review
Before submitting, review each section of the application carefully to confirm all information is accurate and complete. Any fields highlighted in red contain missing or incomplete information — select Edit next to that section to return to it and fill in the required fields.

Step 7 — Terms of Service Agreement and Submission
The final step is to agree to the Keap Pay Terms of Service and submit the application. The full Terms of Service are available on the Keap legal policies page.

After submission, the account is redirected to payment processor settings where the Keap Pay Account Status will display as Pending. Approval takes up to 3 business days. The status will change from Pending to Active once the application is approved.
An email from payments@keap.com may arrive after submission requesting additional information needed to complete activation.
If 3 business days have passed without a status change or email from the Payments team, contact Keap support.

Are there any businesses that are prohibited from using Keap Pay?
Yes. Some business types are prohibited from using Keap Pay, and many are also prohibited under the Keap Acceptable Use Policy. See the comprehensive list of prohibited business types for Keap Pay. If a business type appears on that list but the account is permitted to send email through Keap, contact support to request a review.
Is it possible to negotiate a lower transaction rate for Keap Pay?
Keap Pay pricing may have some flexibility depending on transaction volume and other factors. To discuss rate options, contact the assigned Customer Success Manager or the Payments team at payments@keap.com.
The application was submitted but the account is still not active and no communication has been received.
Approval takes up to 3 business days. The application may require additional documents or information for verification — check for any emails from payments@keap.com. If 3 business days have passed without a status update or email from the Payments team, contact Keap support.
What will transactions appear as on a client's bank statement?
Transactions processed through Keap Pay appear on the client's bank statement as RF*DBAName, where DBAName is the Doing Business As name provided during the Keap Pay application.
