What Is the Basic Import Service?
The Basic Import is a one-time service included with all new customer Implementation Plans at no additional charge. It is designed for new Keap customers who are transitioning from another platform and need assistance importing contacts, contact notes, and tags into Keap.
What Is Included With the Basic Import?
Up to 5 total files — Import of contacts, tags, and contact notes from up to 5 files. Files must be exported from the previous system before submitting. Accepted formats are CSV and Excel. Each sheet or tab in an Excel file counts as one file toward the total.
File preparation — The Keap team reviews and prepares files for import to ensure only the required fields are imported and data is mapped correctly. This service does not include cleaning or manipulating data beyond basic formatting for the upload.
1 to 2 business day completion — After files are submitted and prepared, the import is typically completed within 1 to 2 business days.
Expert assistance — The assigned Keap Implementation team provides guidance throughout the import process to ensure data is imported as needed.
How Long Does the Import Take?
Basic Imports are typically completed within 1 to 2 business days after files are submitted and prepared. The Keap team will follow up if there are any questions or issues with the request.
How Should Data Be Formatted?
Files must be submitted in CSV or Excel format. Each sheet or tab in an Excel file counts as one file toward the 5-file limit.
Do not delete any IDs or system keys from the previous platform — these may be needed as part of the import process.
Data should be separated into individual columns for each field. For example:
First Name and Last Name should be in separate columns.
Addresses should be split into separate columns for Street Address, City, State, Postal Code, and Country.
Each row in the file should represent a single contact or a single note. Contacts and notes should not be split across multiple rows. A contact can have multiple notes, with each note on its own row alongside the corresponding contact information.

All unique contacts must fit within the available contact capacity before the import can be completed. Contact Keap support for assistance with increasing the contact package limit.
What data formatting assistance is included?
The Basic Import includes the following formatting assistance:
Splitting full names into separate First Name and Last Name columns based on the first space in the name.
Formatting phone numbers so the phone type (such as Mobile Phone) is imported alongside the phone number when the type is used as a column header.
Splitting full addresses into separate columns for street address, city, state, postal code, and country — provided a consistent separator character exists between address elements in the data.
Data that is inconsistent or lacks a common separator between fields must be cleaned before submission. The Basic Import does not include in-depth data cleaning beyond the formatting assistance listed above.
Can Keap export data from the current system?
No. Data must be exported from the current platform before submitting the import request. The current platform provider is best positioned to assist with the export process to ensure no data is missed.
Which platforms can data be imported from?
Any platform that can export data as a properly formatted CSV or Excel file is supported. There is no restriction on which platforms data can be moved from. Common platforms include HubSpot, Mailchimp, Ontraport, and Salesforce. Data from multiple systems can be imported at the same time as long as all files are submitted together at the start of the import process.
