Stay on top of follow-ups without losing track of what needs to happen next. The Tasks widget on your dashboard shows all of your open tasks sorted by due date so you can see your priorities at a glance, mark tasks complete as you work through them, and add new tasks without leaving your dashboard.
This article covers how the Tasks dashboard widget works, how task notifications and reminders are sent, and how to add a task from the dashboard. For a full view of all tasks across your account, see the Tasks page.
How the Tasks Dashboard Widget Works
The Tasks widget displays your open tasks sorted by due date, with the most urgent tasks appearing at the top of the list. The widget gives you a quick way to review, complete, and manage tasks without navigating away from your dashboard.
- Mark a task complete by checking the checkbox next to the task title. The task will be removed from the Tasks widget the next time your dashboard loads. Completed tasks are not deleted — they can still be found on the Tasks page.
- Uncheck a task if you accidentally marked it as complete. The task will return to your open tasks list.
- View all tasks by clicking the View all tasks link at the bottom of the Tasks widget. Clicking this link takes you to the full Tasks page where all tasks — open and completed — are accessible.
How Task Notifications and Reminders Work
The Tasks widget supports automatic email notifications and mobile app nudges to keep the assigned user informed about new tasks, upcoming due dates, and completions by other users.
- New task notification — When a task is assigned to a user who is not currently signed in to their account, an email notification is sent to that user to alert them that a new task has been assigned.
- Reminder notification — Setting a reminder on a task sends an email notification and a push notification on the Keap mobile app to the assigned user before the task due date and time.
- Completion notification — If a user other than the assigned user marks a task as complete, the assigned user receives an email notification confirming the task was completed.
How to Add a Task from the Dashboard
You can create a new task directly from the Tasks widget on your dashboard without navigating to the Tasks page. Tasks created from the dashboard appear in the Tasks widget immediately and are also visible on the full Tasks page.
-
Click the Add item button in the Tasks widget on your dashboard.
-
Enter a Task title, due date, and due time. The task title is what appears in the Tasks widget list. The due date and time determine when the task appears as overdue if it has not been completed.
-
Set a Reminder (optional). A reminder sends an email notification and a mobile app push notification to the assigned user before the task due date and time. Select the reminder timing from the dropdown to specify how far in advance the notification should be sent.
-
Enter a Note (optional). Use the Note field to add context, instructions, or details about the task that the assigned user should know when completing it.
-
Select an Associated contact (optional). Linking the task to a contact record connects the task to that contact so it appears on the contact's record as well as in the Tasks widget.
-
Choose an Assigned user. The assigned user is the person responsible for completing the task. All reminders and notifications for the task will be sent to the assigned user.
- Click Save to create the task. The task will appear in the Tasks widget sorted by its due date.
