A broadcast email lets you send the same message to a group of contacts at a scheduled time — for example, a monthly newsletter, a promotional offer, or an announcement. Sending a broadcast from your CRM keeps all of your email marketing activity connected to your contact records, so you can track engagement and trigger follow-up automations based on how contacts interact with your email.
How to Send a Broadcast Email in Keap
Step 1: Select Your Contacts
- Click Contacts in the left-hand navigation menu. Then click People to open your contact list.
- Filter your contact list to find the contacts you want to send the broadcast to. You can apply one or more filters to narrow the list by tag, contact field, or other criteria.
- Alternatively, select a Group from the Groups panel to start with a pre-defined list of contacts instead of applying individual filters.
- Select the contacts you want to send the broadcast to by checking the checkbox next to each contact, or check the select all checkbox at the top of the list to select all contacts currently displayed.
- Click the Send broadcast button at the bottom of the page. The Send broadcast button appears in the bulk action toolbar at the bottom of the screen after one or more contacts are selected.
Step 2: Configure the Sender
- Click Edit in the Sender section to select which Keap user the broadcast will be sent from. The sender name and email address will appear in the "From" field when contacts receive the broadcast.
- Click Save to save your sender selection.
Step 3: Add a Subject Line
- Click Add subject to open the subject line editor and enter the subject line for your broadcast email.
- Personalize your subject line by inserting a merge field to include each recipient's contact information — for example, their first name. Click the merge field icon in the subject line editor to select the contact field you want to insert.
- Enter preview text in the preview text field if you want to include a short description that appears in the recipient's inbox preview beneath the subject line. Preview text is optional.
- Click Save to save your subject line and preview text.
Step 4: Review and Update Your Audience
- Click Edit next to your audience in the Audience section to review or update the contacts who will receive the broadcast.
- Review the contacts in the Audience section. The contacts you selected from your contact list are automatically added. You can add more contacts to the audience at this point if needed.
- Add a new contact on the fly if you need to include a contact who does not yet exist in your CRM. Enter the contact's information in the new contact fields. Make sure you have permission to send automated marketing email to any new contact you add.
- Click Save to save your audience selection.
Step 5: Schedule Your Broadcast
- Click Edit in the Schedule section to choose when to send your broadcast. You can choose to send the broadcast immediately or schedule it for a specific date and time.
- Select a send time. If you schedule the broadcast for a specific date and time, you can choose to send it based on each contact's local time zone or a single specific time zone.
Step 6: Create Your Email Content
- Click Create content in the Content section to open the email builder and design your broadcast email.
- Select a starting point for your email design. Choose from the following options: Start from Scratch to build a custom layout, Text only for a plain text email, or select a pre-built template from the Gallery, My Templates, Sent, or Draft tabs.
- Build your email by adding, removing, and editing content blocks in the email builder. Add images, text, buttons, and other elements to create your broadcast message. Note that some email clients, including the Outlook desktop client, do not render background images. Those clients will display the background color instead of any background image you add.
- Send a test email to yourself before finalizing your broadcast to verify how the email appears in an inbox. The Send test email button is available in the email builder toolbar.
- Click the Mobile button in the email builder toolbar to preview and edit how your broadcast email will appear on mobile devices.
- Click Preview in the email builder toolbar to see a full preview of your completed broadcast email before sending.
- Click Save and exit to save your email content and return to the broadcast setup page.
Step 7: Send or Schedule Your Broadcast
- Click Send broadcast to send the broadcast immediately, or click Schedule broadcast to send the broadcast at the date and time you configured in the Schedule section.
