Why Connect Your Outlook Calendar to Your CRM
Connecting your Outlook Calendar to your CRM keeps your appointment availability accurate by syncing with your existing calendar in real time. When clients or team members book an appointment through your booking page, the CRM checks your Outlook Calendar for conflicts before confirming the booking — so you never get double-booked. Any appointments booked through your CRM are added to your Outlook Calendar automatically, keeping both systems in sync without manual entry.
The Outlook Calendar integration also provides one advantage over the Google Calendar integration — when an appointment is booked, both you and the client receive a second email from Outlook containing an .ics calendar file. Most email clients automatically detect .ics files and add the appointment directly to the recipient's calendar, which reduces missed appointments and last-minute cancellations. If you already use Microsoft 365 or Outlook as your primary calendar, connecting Outlook to your CRM is the most seamless way to manage your appointment schedule.
How to Connect Your Outlook Calendar
Follow the steps below to connect your Outlook Calendar to your CRM. You will need your Outlook account email address and password available before starting. If your Outlook account is managed by your organization's IT department, see the FAQ section for important information before proceeding.

Navigate to the Appointments setup screen using one of the following two paths. Click My Day in the left-hand navigation, then click Appointments. Alternatively, click the Settings gear icon, then click Integrations from the Settings menu.

Click Set up Appointments on the Appointments screen. The calendar provider selection screen opens.

Sign in to your Outlook account by entering your Outlook email address and password on the Microsoft sign-in screen. Complete any multi-factor authentication steps required by your Microsoft account.
The screenshot above shows the Microsoft sign-in screen. Enter the email address for the Outlook account you want to connect and click Next to enter your password. If you have multiple Microsoft accounts, sign in to the one whose calendar you want to use for appointments.

Click Yes on the Microsoft permissions screen to grant your CRM access to your Outlook Calendar. This permission allows your CRM to read your calendar availability and create appointment events on your behalf.

If you click No, the calendar connection will not be completed and you will need to restart the setup process.
Your Outlook Calendar is now connected to your CRM. You can immediately use your Outlook Calendar for appointment booking and availability management. If you have not yet created any appointment types, you will be prompted to create one after the calendar connection is confirmed. How to Switch from Google Calendar to Outlook Calendar
Each user in your CRM account can have only one calendar connected at a time — either Google Calendar or Outlook Calendar. If you currently have a Google Calendar connected and want to switch to Outlook Calendar, you must disconnect your Google Calendar first before connecting Outlook Calendar. Attempting to connect Outlook Calendar while Google Calendar is still connected will not work.

Frequently Asked Questions About the Outlook Calendar Integration
What does this article cover?

Can I connect more than one calendar to my account?
No. Each individual user in your CRM account can connect either one Google Calendar or one Outlook Calendar — not both, and not more than one of either type. If you want to switch from one calendar provider to the other, you must disconnect the current calendar before connecting a new one.
I am a user on multiple CRM accounts. Can I use different calendars for each account?
No. If your user login is associated with more than one CRM account, you must use the same calendar provider — either Google or Outlook — across all of those accounts. You cannot use Google Calendar for one account and Outlook Calendar for another account under the same user login.
How far in advance must an appointment be booked?
Appointments can only be booked more than four hours from the current time. Appointments cannot be booked within four hours of the current time. This minimum notice window ensures that you have enough time to receive the booking notification and prepare before the appointment begins.
What is different about the Outlook Calendar integration compared to the Google Calendar integration?
The Outlook Calendar integration includes one feature not available with the Google Calendar integration: when an appointment is booked, both you and the client receive a second email from Outlook containing an .ics calendar file. An .ics file is a standard calendar attachment that most email clients — including Gmail, Apple Mail, and Outlook — automatically detect and use to add the appointment directly to the recipient's calendar. This reduces missed appointments by ensuring the event appears on both calendars without requiring either party to manually add it. Aside from the .ics email, the Outlook Calendar and Google Calendar integrations offer identical functionality, experience, and benefits.
The Outlook Calendar being connected is not the one I want to use. What should I do?
If the wrong Outlook account is being shown during the connection process, it is because Microsoft is providing the credentials of the Outlook account you are currently signed in to. To connect a different Outlook account, open Outlook.com in your browser and sign out of the current account. The next time you start the Outlook Calendar connection in your CRM, you will be prompted to sign in to your Outlook account and can enter the credentials for the correct account.
I am getting an incorrect password error, but my password is correct. What should I do?
If your Outlook account is managed by your organization's IT department — for example, a company Microsoft 365 account — the IT department may have restricted the account from connecting to third-party applications. This restriction can cause incorrect password errors or connection failures even when the correct password is entered. If you encounter this issue, contact your IT department to request that the connection be allowed, or use a personal Outlook account that is not managed by your organization to connect your calendar.
Do I need to verify my Outlook account before connecting it?
Yes. Newly created Outlook accounts must be verified by Microsoft before they can be connected to your CRM. If your Outlook account has not been verified, you will encounter error messages when attempting to connect the account or use appointment features. Complete the Microsoft account verification process for your Outlook account before attempting to connect it to your CRM.
Do I need to recreate my appointment types if I switch from Google Calendar to Outlook Calendar?
No. Appointment types are stored in your CRM account independently of which calendar is connected. When you disconnect Google Calendar and connect Outlook Calendar, all of your existing appointment types remain in your account and become available again automatically once the new calendar connection is established.
