This article covers all available custom field types for contact and company records in Keap™, including text and number fields, date fields, option list fields, and specially formatted fields. Choosing the correct field type for the data being stored ensures the field works correctly for reporting, searching, and merge field use.
Keap Pro accounts can create up to 100 custom fields for contact and company records. Keap Max accounts can create up to 150 custom fields.
Important: A field type cannot be changed after the field is created. For example, if a Radio field is created and a Drop-down is needed instead, a new Drop-down field must be created and the old Radio field removed. In many cases, existing field data can be exported to a CSV file and reimported into the new field.
Note — Max Classic to Keap Ultimate: If toggling from Max Classic to Keap Ultimate and the account has custom date/time fields, those fields will appear on the contact record but cannot be edited. New date/time custom fields cannot be created in Keap Ultimate as this field type is not currently supported.
Text and Number Fields
Text and number fields store a variety of custom information and are most commonly used as reference fields and merge fields in emails, letters, and task templates.
Text
Stores all types of data including letters, numbers, and symbols. Limited to 255 characters. Best used for short-answer input.

Text Area
Stores all types of data including letters, numbers, and symbols. Allows up to approximately 65,000 characters (around 9,000 words). Commonly used to capture open-ended feedback from web forms such as surveys or contact forms.

Whole Number
Stores whole numbers only. Does not accept letters, symbols, or decimal points.

Decimal Number
Stores decimal numbers. Does not accept letters or symbols. Values are rounded to the hundredths place.

Percent
Stores any number and displays it with a decimal point and a percentage symbol (%).

Currency
Stores any number and displays it with a decimal point and a dollar sign ($).

Date Fields
Date fields store custom date information such as birthdays, special events, and renewal dates. Date values can be merged into emails, letters, and task templates for personalization and event reminders.
Date
Stores a custom date. Enter the year directly or use the up and down arrows to select it.

Day of Week
Stores the name of a day of the week in text format (for example, Monday).

Month
Stores the name of a month in text format (for example, January).

Year
Stores a year in numerical format (for example, 2024).

Option List Fields
Option list fields create a defined set of selectable values rather than allowing free-text input. This makes them ideal for searching, filtering, and reporting because the data is consistent and structured.
Radio
Displays all options as radio buttons simultaneously. Only one option can be selected at a time.

Drop-down
Creates a dropdown list of options. The list must be opened to view and select a value. Only one option can be selected at a time. Drop-down lists support up to 2,000 characters or 499 items.

Checkboxes
Displays all options as checkboxes. Unlike Radio fields, multiple checkbox options can be selected simultaneously.

User
Displays a list of Keap users. Useful for merging multiple user names into messages — for example, a sales representative and account manager.

Specially Formatted Fields
Specially formatted fields extend the standard contact record fields by providing additional structured input options for common data types.
Email Address
Stores an additional email address beyond the standard email fields on the contact record.

Phone Number
Formats the stored number as a US phone number in the format (XXX) XXX-XXXX. Use this field type to add more than five phone numbers to a contact record.

State
Creates a US state dropdown with all 50 states as selectable options.

Website
Stores a web address and converts it to a clickable hyperlink for one-click access to the website.

Can a custom field type be changed after the field is created?
