What Is Included With Each Package
All import packages include the following:
Data import into Keap — Data must be exported from the previous system before submitting. The Advanced Import, Limited E-Commerce Import, and E-Commerce Import packages each support up to 50 total files. Files must be CSV or Excel format. Each sheet or tab in an Excel file counts as one file toward the total.
File preparation — Files are reviewed and prepared for import to ensure only the required fields are imported and data is mapped correctly. This service does not include cleaning or manipulating data beyond basic formatting for the upload.
Expert assistance — A Keap Data Specialist provides guidance throughout the import process to ensure data is imported as needed.
Available Import Packages
Five import packages are available. Hourly imports are also available at $150 USD per hour with a two-hour minimum for smaller or custom import needs.

How Long Does an Import Take?
After submitting a request, a scoping review with a Data Specialist typically takes 2 to 5 business days to complete. Once fulfillment begins, data imports typically complete within 3 to 7 business days. Complex imports or large data volumes may take up to 14 business days.
How to Request an Import
To request a paid import, contact Keap support. A Data Specialist will be assigned to review the request before any work begins, providing an opportunity to ask questions and confirm scope.

What the Import Process Looks Like
A scoping call is scheduled with a Data Specialist to review the import request, the source system, and the data to be imported.
Files are reviewed together to confirm field mapping and data placement before work begins.
The request is added to the fulfillment queue. Once fulfillment begins, a fresh copy of the data files is required to proceed.
Data Specialists import the data, organize it within Keap, and complete a quality assurance review.
After the import is complete, there is a 5-business-day review window to request any adjustments.

Which platforms can data be imported from?
Any platform that can export data as a properly formatted CSV file is supported. There is no restriction on which platforms data can be moved from. Common platforms include HubSpot, Mailchimp, Ontraport, and Salesforce. Data from multiple systems can be imported at the same time as long as all files are submitted at the start of the import process.
Are there limits on the number of files that can be imported?
The Advanced Import, Limited E-Commerce Import, and E-Commerce Import packages each support up to 50 total files. Each sheet or tab in an Excel file counts as one file toward the total. Each file attachment must be 10 MB or smaller, whether attached to a contact record, or uploaded to the company images or files section.
How should data be formatted before submitting?
Files must be in CSV or Excel format. Each sheet in an Excel file counts as one file. Data should be organized into separate columns for each field — for example, First Name and Last Name in separate columns, and address elements split into Street Address, City, State, Postal Code, and Country. What if the previous system works differently from Keap?
All import projects begin with a scoping call where the Data Specialist reviews exactly what is being imported, where it will be placed in Keap, and how it will appear. If the previous system does not have a direct equivalent in Keap, the Data Specialist will work with the customer to find the best available approach.
Can the Keap account be used while the import is in progress?
Yes. The Keap account can be used normally during the import process. The assigned Data Specialist can advise on any specific limitations that apply during the import.
What if there are concerns about how the import was completed?
After the import is complete, there is a 5-business-day review window to request adjustments. Raise any concerns with the assigned Data Specialist during this period.
Can data be imported independently without a paid service?
Some data types — such as contacts and tags — can be imported directly from within the Keap application. Other data types require backend access and must be handled by the Data Team. Contact Keap support for details on which data types can be self-imported.
