Why Use the Thryv Business Center Calendar to Schedule Appointments
Missed appointments and double-bookings cost your business money and damage client trust. The Thryv Business Center Calendar keeps your day organized, automatically notifies your clients of every update, and reduces the chance of no-shows by sending reminders before each appointment. You stay on top of your workday, your clients stay informed, and your schedule fills with paying work instead of empty slots.
This article walks you through how to schedule a new appointment from your calendar, including choosing the client, setting the service and price, assigning a staff member, and adding additional recipients. It does not cover editing existing appointments, canceling appointments, or setting up recurring appointments. How to Schedule a New Appointment
To create a new appointment, open your calendar in Thryv Business Center. In the top-right corner of the calendar, click New. From the dropdown menu, click Appointment.

Choose Who the Appointment is For
Select the client you want to schedule the appointment for. You have three options to find or add the client:
Search. Search your existing clients by name, email, or tag.
New Job or Client. Add a brand new client directly from this screen.
Recently Active. Select from your most recently active clients displayed below the search field.
The client selection screen displays a Search field at the top, a New Job or Client button to add a new client, and a Recently Active section listing your recently scheduled clients.
Select the Service for the Appointment
Choose the service this appointment is for. Available services populate from your services menu. To manage your services, click Settings in the left-hand navigation and then click Services. You can also add a custom service for this appointment by entering a custom appointment title directly in the service field.
The service selection screen displays a list of services pulled from your Services menu. A custom service field is available at the bottom to enter a one-time custom appointment title.
Set the Date and Time
Select or type the date and time for the appointment. If the staff member you assign is already booked at the selected time, a warning will appear notifying you of the scheduling conflict.

Schedule an All-Day or Multi-Day Appointment
To create an appointment that lasts all day or spans multiple days, set the All day toggle at the bottom of the calendar to on. The appointment will convert to an all-day appointment. Select the same day as the end date for a single all-day appointment, or select a different end date if the appointment takes several days. The All day toggle is visible at the bottom of the appointment screen. When set to on, the date selection changes from time-based to date-based for single or multi-day appointments.
Assign a Staff Member
Select the staff member who will take the appointment. The appointment defaults to the primary Admin assigned in your Thryv account, but you can reassign it to any active staff member from the dropdown.
The staff member dropdown displays the list of active staff members in your Thryv account. The primary Admin is selected by default.
Set the Price for the Appointment
The appointment defaults to the price settings for the selected service. You can change the price for this specific appointment from this screen, or make a permanent change by editing the service itself. To make a permanent change to a service price, see Add/Edit Services. The following price options are available for a single appointment:
Fixed Price. Sets a specific price for this appointment. The price defaults to the saved price for the selected service if one exists and requires payment according to the service settings (due upfront, pay at the time of the appointment, and so on).
Custom Price. Does not display a price on the appointment or on the confirmation sent to the client. Your client will need to refer to their invoice for the price. Use this option for appointments where the price may vary.
No Fee. No price will be associated with this appointment.
The price selection screen displays three options: Fixed Price, Custom Price, and No Fee. The default selection is based on the saved settings for the selected service.
Add Additional Email Recipients
To send the appointment booking email to people beyond the primary client, click the Additional Recipients and Email Notes dropdown. Enter the email address for each additional recipient under Additional Email Recipients. Additional recipients receive a booking email with an .ics calendar file and are notified of any changes to the appointment.
Note: If any fees are associated with the appointment, only the primary contact will be charged. The primary contact is the only person who can pay the appointment fees. Additional recipients are notified but cannot be charged.

Add a Message and Review Client Details
You can include a message to the client that will display in the appointment invite they receive. To view more information about the client before sending the invite, click Show More next to the client's name. The expanded view displays the client's contact information, their last booking date, and any due or overdue payments on their account.
The client details panel displays the client's name and a Show More option. When expanded, the panel shows the client's contact information, last booking date, and outstanding payment balances.
Confirm Location, Details, and Notifications
The location, details, and notification settings for the appointment can be modified before saving. By default, these fields use the preset settings configured for the selected service. To set up or modify your service defaults, see Add/Edit Services.
What Your Client Receives After Booking
Once you save the appointment, your client receives an appointment invite by email with the date, time, location, service details, and any message you included. Your client also receives automatic reminders before the appointment based on your notification settings.
The example appointment invite displays the appointment date, time, service, business name, and the message included by the staff member who scheduled the appointment.
Frequently Asked Questions
What happens if I schedule an appointment when a staff member is already booked?
A scheduling conflict warning appears notifying you that the selected staff member is already booked at the chosen time. You can choose to override the conflict and schedule the appointment anyway or change the time or staff member.
Can a client without an account in my Thryv be scheduled for an appointment?
Every appointment must be associated with a client in your account. You can add a new client directly from the scheduling screen using the New Job or Client option without leaving the appointment flow.
Can I charge multiple people for the same appointment?
No. Only the primary contact on an appointment can be charged for any fees. Additional recipients added to the appointment receive notifications and a calendar invite but are not billed.
Can I change the appointment price for just one client without affecting the service price for everyone?
Yes. Adjusting the price on the appointment screen only applies to that specific appointment. To change the price permanently for the service across all future appointments, see Add/Edit Services.
Can I schedule a recurring appointment from this screen?
