This article applies to Keap Pro and Keap Max accounts. Keap Ultimate accounts already have Tag Categories and are not affected by this update.
What This Article Covers
This article explains how to create and manage Tag Categories, and how to assign tags to a category, in Keap Pro and Keap Max. This article does not cover tag management in Keap Ultimate, since Ultimate accounts already have their own Tag Categories experience that is not changing. This article also does not cover bulk editing multiple tags at once; for that, see Bulk Edit Multiple Tags in Keap.
Why Use Tag Categories
Tag Categories help you group related tags together so your contact list stays organized as your tagging system grows. Instead of scrolling through a long, flat list of tags to find the one you need, you can group tags by purpose, such as by campaign, customer type, or lifecycle stage. This makes it faster to find the right tag when segmenting contacts, building automations, or reviewing reports, and it keeps your workspace clean as your number of tags increases over time.
Tag Categories also show you how many tags live in each category, so you can see at a glance whether a category needs cleanup or consolidation. If you delete a category, the tags inside it are not deleted. They simply become uncategorized and remain fully usable.
How to Create a New Tag Category
Click Settings in the left-hand navigation.
Then click Tag Categories.
This takes you to the Tag Categories page, where you can see all existing categories along with the number of tags in each one.
Click the Add Category button.
Enter a category name of up to 50 characters and, optionally, a description of up to 255 characters. Keap does not allow two categories with the same name, so if you enter a name that already exists, you will need to choose a different one.
How to Edit or Delete a Tag Category
Click "Settings" in the left-hand navigation.
Then click "Tag Categories".
Click an existing category from the list to open its details panel.
From the category details panel, you can edit the category name and description, add or remove tags from the category, or delete the category entirely.
When you delete the tag category you will receive a pop up message to confirm. Deleting a category does not delete the tags it contains. The tags revert to Uncategorized and remain available to use.
You can remove a tag from the category by clicking the minus icon.
This will also trigger a pop up to confirm the tag should be removed. This does not delete the tag itself. The tag reverts to Uncategorized and remains available to use.
To assign a category to several tags at once instead of one at a time, see Bulk Edit Multiple Tags in Keap.
Pro Tip: Click a tag within the category to go directly to that tag's Tag Settings page.
How to Assign a Tag to a Category
The Assign Tags to Category dropdown lives inside the Tag Categories side panel, the same panel you use to edit a category's name and description.
-
Click Settings in the left-hand navigation.
Then click Tag Categories.
Click an existing category to open the Tag Categories side panel for that category.
From the Tag Categories side panel, click the Assign Tags to Category dropdown.
By default, this dropdown shows uncategorized tags first, up to 500 tags. You can also search for a specific tag. Search results show matching uncategorized tags first, followed by matching categorized tags grouped by their current category, up to 500 results.
From the Tag Categories side panel, if the tag you need does not exist yet, click the Add a New Tag button at the top of the dropdown to create it without leaving the panel.
There is a second path to reach the Tag Categories page, which then leads to this same side panel.
Click "Settings" in the left-hand navigation.
Then click "Tags".
Click the "Manage Tag Categories" button in the right-hand panel.
This takes you to the same Tag Categories page described above. From there, click a category to open its Tag Categories side panel and use the Assign Tags to Category dropdown as described above.
