Most businesses track calls by campaign or channel. But when your team is actively prospecting, sending emails, texts, or making cold calls, you also want to know which salesperson is generating the inbound calls that result.
Assigning individual Trackable Phone Numbers helps you attribute inbound calls to the right team member, see whose outreach is actually making the phone ring, and compare performance across your sales team. It also gives you real data to back up coaching conversations, instead of relying on a rep's own account of how their outreach is performing.
When to Use Individual Trackable Phone Numbers for Sales Reps
Use a Trackable Phone Number per salesperson when your team sends personalized outreach, such as email signatures, follow-up texts, or handwritten quotes, when a salesperson manages a specific territory or account list, or when you want to hold individual reps accountable for call-generated leads.
A Note on the 5-Number Limit
Because your account can have only 5 Trackable Phone Numbers at a time, assigning one to every individual salesperson may not be realistic for larger teams or for accounts already using numbers for other channels.
If you have a small team, individual numbers per rep work well within the limit. If you have a larger team, consider assigning numbers by territory or region instead, for example, one number for your Austin North territory rather than one per rep in that territory. This still lets you attribute calls to a specific area of the business, even if you can't isolate every individual rep.
How to Set Up a Trackable Phone Number for Your Sales Team
Click Trackable Phone Number in the left-hand navigation, then click Track New to create a number. For step-by-step instructions on creating a Trackable Phone Number and choosing a destination number, see Trackable Phone Numbers.
Name each number with the salesperson's name or the territory it represents, for example, "Rep – Maria Santos" or "Sales – Austin North." Have the salesperson use that number as their outreach number on emails, texts, or any materials they send directly to prospects. Review your results by number in your reporting to see who, or which territory, is driving calls.
Naming Trackable Phone Numbers for Sales Reps
Keep names simple and consistent. For individual reps, use a format like "Rep – [First Name Last Name]," for example, "Rep – Maria Santos." For territory-based tracking, use a format like "Sales – [Territory or Region]," for example, "Sales – Austin North."
Avoid vague labels like "Sales 1" or "Rep B." Names like these are hard to remember later, especially once you have several numbers active across different reps or channels.
What You Can Track from Sales Rep Call Activity
To view call data for a specific number, click the campaign name for that number on the Trackable Phone Numbers page. This opens a detail page showing four metrics: Calls (the total number of calls received), Unique Calls (calls from distinct phone numbers), Avg. Calls Weekly (average call volume per week), and Avg. Call Duration (average length of calls received).
Below the metrics, the Received Calls section lists every call made to that number. You can search by phone number or sort the list, and each call can be opened to listen to its recording.

Call data updates once every 24 hours, so calls received today won't appear in your reporting until the next sync.

Can I give every salesperson their own Trackable Phone Number?
It depends on your team size. Your account can have up to 5 Trackable Phone Numbers total, shared across every channel and use case. If you have a small team and aren't using numbers elsewhere, individual numbers per rep can work. If you have a larger team or are already using numbers for your website, email, or ads, consider assigning numbers by territory instead.
Can I use the same number for a rep's outreach and another channel, like email campaigns?
It's not recommended. Combining a rep's individual outreach with another channel under one number makes it impossible to tell whether a call came from that rep's personal efforts or from the other campaign.
Is there a limit to how many Trackable Phone Numbers I can create?
