Strategy Brief
Task Outcomes are a powerful way to bridge the gap between manual work (like a phone call or physical mailing) and automated follow-up. Instead of just marking a task as "done," outcomes allow you to trigger different automation paths based on what actually happened during that manual task.
Technical Overview
Tasks that you add to a sequence can be used to satisfy a task completion goal. Once all the required tasks are complete, the goal is satisfied and the automation will continue. The task completion goal must be preceded by at least one sequence containing tasks driving to the goal. There is no limit to the number of tasks in the sequence nor is there a limit to the number of sequences with tasks driving to the goal.
Use Case 1
Sales Call Results
This is a very common use case. When a sales rep finishes a call, the next step depends entirely on the conversation.
Outcome: "Left Voicemail" - Triggers an automated email: "Sorry I missed you! Just left a voicemail..." and schedules a follow-up task for 2 days later.
Outcome: "Interested / Send Quote" - Triggers an automation that sends a pre-formatted quote and a nurture sequence about your services.
Outcome: "Not Interested" - Applies a "Lost Lead" tag, stops all sales emails, and perhaps adds them to a long-term monthly newsletter.
Use Case 2
Failed Payment Recovery
When a payment fails and automated emails don't work, a staff member might try to call the client.
Outcome: "Payment Processed Over Phone" - Stops the "Billing Failure" automation and sends a receipt.
Outcome: "Subscription Cancelled" - Triggers the "Offboarding" automation and removes access to the product.
Outcome: "Requested Extension" - Pauses the billing automation for 7 days.
Important! Before you configure the task goal setting, you must add and customize the tasks in the sequence that are designed to achieve the goal.
Create automation based on task outcomes
- Double-click the sequence you wish to edit or click and select View and Edit
- Add and configure at least one Create Task process to the sequence
- In the "Create Task process", ensure you set "Task outcome options" for the task
- Save your task settings and click Done to exit the sequence
Drag a task completed When onto the canvas and connect it to the sequence, or just click the plus button next to the sequence and choose the When trigger Task Completed
Select a task and any outcome(s) to satisfy the When trigger
Add additional tasks to the goal by selecting And or Or
Note: You can't use both "And" and "Or" in the same task outcome goal. Instead you can create multiple Task outcome goals, one with "Or" options and one with "And" options.

Select additional outcomes to satisfy the goal
Click "Save"
Create multiple task outcome goals with both "And" and "Or" options
- Drag a second "Task Completed" goal onto the canvas and connect it to the same sequence as your first "Task Completed" goal
Click the "Task Completed" goal followed by "View and Edit" to configure it
Select a task and outcome(s) to satisfy the goal
Select "And" or "Or"
Select additional task(s) and outcome(s) to satisfy the goal
Click "Save"

- Connect "Task Completed" goal to the next sequence that will start when the task is complete
- You are now ready to publish your changes.
